What DOLE and ISO auditors actually sample
The first time a Philippine plant moves from paper to digital, the safety officer worries: will the auditor accept this? The honest answer is yes, easily, when the digital system satisfies three properties that paper never quite did. The auditor wants:
- Time-of-event recording. The entry was made when the event happened, not constructed weeks later to satisfy the audit. A server-side timestamp settles this.
- Worker identification. The person who made the entry is named (not initials). Paper has signatures that may be illegible; digital has authenticated user IDs.
- Non-editability after submission. Once submitted, the entry cannot be silently rewritten. Edits are version-tracked with the editor and reason.

The 3 immutability guarantees
- Server-side timestamp. Every entry is stamped at the moment it hits the server, not the client. A worker cannot backdate by adjusting their phone clock.
- Authenticated authorship. Entries are tied to the worker's account (which is tied to their DOLE-acceptable identity). No anonymous edits.
- Append-only edits. If an entry needs correction, the original stays in the audit log with the correction appended (who, when, what changed, why). Auditors see the full history, not just the current state.

WorkHive defaults exceed the minimum because storage is cheap and the worker may need the history years after leaving the plant (for OFW applications, promotion cases, regulatory disputes).
PDF export patterns auditors accept
Three export patterns that satisfy DOLE OSHS and ISO auditors:
- Date-range PDF: all entries in a window (typically 30 days for a sample). Includes timestamp, author, asset, category, and entry text. Auditor marks sampled pages.
- Asset-history PDF: all entries for a specific asset over its lifecycle. Used when the auditor is investigating a specific failure or compliance gap.
- Compliance-mapping PDF: entries grouped by ISO clause or DOLE rule. Used for management review meetings and surveillance audits.
All three include a footer with the WorkHive entry IDs so the auditor can request live verification of any specific entry if they wish.
Mapping to ISO 9001, 14001, 45001
