A spreadsheet is genuinely fine when one person maintains under ~50 assets and nobody needs history older than the current year. Switch to a CMMS when any of four things is true: more than one person edits it, you need PM due-dates to trigger rather than be remembered, you need history that survives staff turnover, or an auditor will ask for dated records. When a spreadsheet is genuinely fine

This deserves saying plainly, because "you need software" is usually a sales line. A spreadsheet is a reasonable tool when:

  • One person owns maintenance and does all the recording;
  • The asset count is small (roughly under 50) and stable;
  • PM intervals are simple and few enough to hold in your head;
  • Nobody outside the team needs to read the records.

If that describes you, a well-kept spreadsheet beats a badly-adopted CMMS. Adoption, not features, is what determines whether records exist.

The four ways spreadsheets fail

  1. Single owner. The file lives with one person. When they resign, the formulas, the conventions, and the context leave with them.

  3. Concurrent edits. Two people editing means version conflicts, and the fix is usually "send me the latest copy," which is how history diverges.
